DeliveryHub gives logistics operators two tightly integrated modules — Invoicing and Fleet. Each week follows a predictable lifecycle that ends with HMRC-compliant self-billing invoices and a full DVSA evidence trail.

The weekly lifecycle

Finalising snapshots driver details, prices, and adjustments onto the week, so a historical invoice never changes when you later edit a driver or a service type.

Invoicing module

Plan the week. Invoice it.

The rota grid is the heart of the Invoicing module. Each week runs Sunday to Saturday. You add day entries — service lines, bonuses, deductions — per driver per day. When you're ready, finalise the week and the platform derives invoice numbers, VAT (where applicable), and totals from the snapshotted data.

Each operator gets their own isolated workspace with a white-labelled invoice template carrying their company name and logo. VAT is applied where the driver's snapshotted VAT number is present. HMRC self-billing records are retained for the required six years — even if you later cancel your subscription.

Fleet module

The DVSA check, off paper.

Drivers complete the DVSA daily walkaround check from their phone — no app to install, no paper to file. Each zone (lights, tyres, bodywork, mirrors, fuel, brakes) is tapped through in order. Defects are flagged with a severity level, photographed on the spot, and routed to the back-office in real time.

Every check is a timestamped, photo-backed record. The six-year evidence trail means that if a vehicle is involved in an incident, you have proof that the legal daily check was conducted — or that a defect was reported and acted on.

What your drivers get.

Drivers get their own portal where they can view their invoices, download PDFs, update their profile (name, address, UTR, bank details), and complete vehicle checks from their phone. No app to install; it works in any modern mobile browser.
