This Privacy Notice for Simona Evgenieva, trading as DeliveryHub (“we”, us”, or our”), describes how and why we may access, collect, store, use, and share (“process”) your personal information when you use our services (“Services”), including when you visit our website at https://deliveryhubapp.com, use our web application, or engage with us in other ways.

Controller and processor.For data that an operator’s drivers and contractors enter into the Services, the operator (the subscribing business) is the data controller and DeliveryHub is the data processor on the operator’s behalf. The terms governing that processor relationship are in our Data Processing Agreement. For visitors to our website and operator administrator users, we are the controller.

1. What information do we collect?

We collect personal information in the following categories: contact and account details (name, email, login credentials, contact preferences); billing information (billing address); and — for operators using the Services to manage drivers — driver records and supporting documents that the operator enters into the platform, including identification, tax, vehicle, and payment information needed to generate self-billing invoices and DVSA vehicle-check records.

Card payments are processed by Stripe; payment instrument numbers are handled and stored by Stripe and not by us. Where the Services need access to your device camera (for example to capture vehicle-check photos), the browser will prompt you for permission, which you can grant or revoke at any time in your browser’s site settings.

A full field-level inventory of the data we process is available on request. Operators may obtain it by emailing contact@deliveryhubapp.com.

Sources of the information we process.

We process only personal information that:

(a) you, or the operator that invited you, enter into the Services — through account forms, driver records, weekly statements, vehicle-check submissions, signed documents, or direct communications with us; and

(b) is automatically generated by your use of the Services, limited to the technical data necessary to operate the platform — authentication session cookies, server access logs, and error monitoring records.

We do not buy, scrape, or otherwise enrich your personal information from external sources. We do not combine the personal information you provide with data acquired from advertising networks, data brokers, or social media platforms. The information you enter is used only for the purposes set out in Section 2 below.

We use a small number of sub-processors in the following categories to deliver the Services: managed database and authentication, object storage for files and PDFs, subscription billing, transactional email delivery, error monitoring, and web hosting.

The current named list of sub-processors, the country in which each is established, and a copy of each processor’s privacy notice are available on request. Operators may obtain the current list by emailing contact@deliveryhubapp.com. We will give operators reasonable notice of changes to this list and an opportunity to object, as set out in our Data Processing Agreement.

Other situations. We may share or transfer your information in connection with a business transfer (merger, sale, financing), or where required by law, regulator request, court order, or HMRC self-billing record-keeping rules.

5. How long do we keep your information?

We retain personal information for as long as necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required by law. Specifically, we retain personal information for 72 months (six years)after the termination of the user’s account, to satisfy HMRC self-billing record-keeping requirements. After that period, the information is securely deleted or anonymised.

We use appropriate technical and organisational measures to protect personal information, including access controls, encryption in transit and at rest, tenant-level data isolation, and an audit trail of administrative actions. Operators undertaking a security review may request our detailed security architecture summary by emailing contact@deliveryhubapp.com.

Despite these measures, no electronic transmission or storage technology can be guaranteed to be 100% secure. You should access the Services from a secure environment.

7. Do we collect information from minors?

The Services are made available to adult drivers and operator administrators only. UK driving licence requirements mean drivers are adults; we do not knowingly collect personal information from anyone under 18.

8. What are your privacy rights?

Under UK GDPR you have the right to: access, rectify, or erase your personal information; restrict or object to processing; receive your information in a portable format; and withdraw consent where processing is based on consent. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

If you believe we have processed your data unlawfully, you can complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.

9. Controls for Do-Not-Track features

Because we do not use third-party tracking on the Services, Do-Not-Track signals have no effect on our processing.

10. Do we make updates to this notice?

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated “Last updated” date at the top of this notice. Material changes will be notified to operators by email at least 14 days before they take effect.
